Getting started with Company Portal

Introduction

This section covers the Company Portal. For companies using RecMan, the Company Portal is an additional feature that lets them access customer contacts they created within the system. This is commonly used to view and approve logged hours, but can also be extended to include features such as viewing offers/agreements, invoices, job information, and more.

Note

These guidelines assume you have basic permissions to view and approve registered work. If your profile looks different, your permissions and functionality may be limited or adjusted by the staffing company.

Logging in and Home screen

To log in to the Company Portal, the company using RecMan must first create a login. When that is done, they can assign permissions depending on your needs before sending you the login credentials. Assuming a login has been created and sent, we will walk you through logging into the system to access your customer profile. We will also show you how to reset your password, should you have forgotten it.

You may have profiles in several RecMan systems, depending on the company, and these profiles are not shared between companies. Because of this, you must use the correct site when logging in. A typical site for logging in should look like this:

Here we have written company but use the name of the company you are registered with. When visiting this link, you will see the following screen.

Here, enter the email and password provided by the company. Click Log in in order to log into your customer profile. When you log in for the first time, you'll likely use a temporary password or a one-time login link. Therefore, we recommend setting a new, strong password for future use.

After clicking Save, you should now be on the Company Portal's Home screen.

You can also enable SSO authentication to enhance the security of your profile using a Google or Microsoft account.

On the Home screen, you can view widgets for notifications, bookings, employees, agreements, and more. Attribute management is accessible via the Information widget. The work approval widget displays the quantity of items pending approval, invoice amounts in multiple currencies, total work amounts, and hours separately, and you can switch between weekly and monthly views for better data analysis. 

A Partner portal widget gives external partners (contact persons with Partner portal permission) a quick overview of the projects they're involved in – highlighting new projects, the candidates they've submitted, and a status breakdown showing how many are hired, declined, or still in progress for each project.

Login issues and forgotten password

If you experience issues logging in, we recommend double-checking that your email address and password are entered correctly. If you're sure both are correct, you can use the Forgot your password? button.

Once pressed, you will see a small box where you will be able to input your email once more and press the «Request new password» button. Should your email have been entered correctly, you will receive an email where you can click a link to be automatically logged in. You may also copy the link and paste it in the address field in your web browser if you are unable to click it.

When you click the link, you will be logged into your profile and see the same "Set new password" box shown earlier.

Should you still have issues logging in, contact the company that has your profile in their system. On the same screen where you log in, click "Return to homepage". There, you should be able to find contact information so the company can provide you with a new password.

Change password

After you have logged in to your profile, you can change your password directly from your profile. As mentioned, you will be asked to set a new password the first time you log in / when you use the "Forgotten password" function, but if you want to change it later, click My profile → Authentication as shown in the picture below.

Here, enter your current password, then enter the new one twice to make sure it is entered correctly. Once done, click Save to change your password.
