In this article, you can read about the different menus in RecMan and what various symbols, icons and buttons mean and do.
Sub-modules
Hover over the navigation line icons to see the multiple submodules each module contains.
The "Create New" button
In the top left corner, you can see a plus icon, which gives the possibility to easily create various entities like projects, companies etc.
Topbar
Down below, we will review what every button on the top bar does, from left to right.
Search – Here, you will find a master search. With this search, you can search across the modules.
New updates – The list and description of system updates.
Tasks – This button takes you to the task center, where you can delegate tasks to yourself or colleagues. Read more Tasks here.
Email – This button takes you to our email module, where you have the opportunity to synchronize your job email and link emails to customers and candidates, among other things.
Messages – Here, you can send messages to your employees or employees at work who use the RecMan Employee app. Read more about this feature here.
Notifications – Here, your notifications will appear; this can be in the form of new candidates, assignments, agreements etc.
Profile – Here, you will find your profile, where you get a quick little overview of your own profile, with the opportunity to change it. This is also where you change the RecMan language.
Arrow – This button shows your calendar and active co-workers.
Help Center icon
If you look to the bottom left corner, you will find the help center icon:
A quick way to get the help you need is to find the answer you are looking for in our help center. The system is integrated with the help center, so it will open the corresponding article depending on where in the current moment you are in the system.
So, for example, if you stand in the CRM module and click this icon, a new page will open and send you to the help center containing CRM articles.
Filter
Throughout the system, whether you are in the CRM, the Candidate Database, the Project or the Employee base, you will have various opportunities to filter your search results.
These filters work instantly to get the best results immediately based on the selections you make. You will, therefore, now see how the use of the filter affects search result performance in business intelligence tools.
For example, you are working in the CRM module. You want to find out which customers registered in the system within a specific industry, belong to a particular co-worker and are geographically located at a given location. Then, using these filters – industry, co-worker and region, is the way to get the desired results.
Tips
It would help if you used the time to acquaint yourself with the different filters because it will save you a lot of time searching for information in the system.
Checkboxes
At numerous locations in the system where there is a listing of information, e.g., CRM, candidate database etc., you’ll see checkboxes in front of the names. Checkboxes indicate that you have some options with the selection you’ve chosen. What kind of options you have depends on which module you’re in, the permissions you have and the status of the selection you’ve chosen.
In the picture above, we see that by checking a group of people in the candidate database, we’ve got thirteen choices for what we can do with this selection. For instance, we have the opportunity to send an email or text message to the candidates in the selection, add candidates to the candidate pool, present the candidates to a customer, or export the selection to an Excel document.
Information
Tags
It is often desirable to display important information from a listing without necessarily having to click on a particular candidate/customer card. For example, in the candidate database, we want to see the list of candidates who have been in an interview, in a candidate process or have applied for one or more positions. You can see this information in the tags, and you may click the tag, for example, an interview tag, to get to the interview box on the candidate card.
View
Paging
Instead of having to scroll down for eternity, the system utilizes so-called “paging” in the different databases. That essentially means dividing the result into multiple pages that you can browse. You can now navigate back and forth between pages by clicking directly on the desired page number or going to the former, the next, the first or the last page.
You’ll also see the number of pages in total and how many hits are based on your search criteria. In the case below, we see that the system has found 587 hits in the candidate base and that we’re currently on page 7 of a total of 84 pages.
Another convenient feature in RecMan is that the system remembers your current page if you leave the module. For example, you’re standing inside the candidate base on page 5, and then you go to another module in the system. You will still be on page 5 when you come back to the candidate base, and your filtering is also taken care of.
Note
Should you wish to use the checkboxes mentioned previously, you will only select the candidates/customers/projects you see on the screen. You will not select those on different pages you currently cannot see.
Sample limitation
Depending on how much space you have on your screen, the number of items shown may vary. In the various modules, you can see a predefined choice of how many items are displayed at a time. You may change the number by clicking the menu in the top right corner.
Searching
Search field
At several places in the system, you will find search boxes. RecMan is a cloud-based CRM software, and the search box works the same way as Google – the search is performed as you type. The different search fields in the system work slightly differently depending on which module you are currently in.
Examples:
In the CRM module, you can use the search field to search by company name or customer number.
In the Candidate base, you can use the search field to search the candidate’s name.
In the Project module, you can search by project name, customer name (to which the project belongs) or project number.
