Huldt & Lillevik (Payroll file export)

Turn on Huldt & Lillevik as an option for wage export

Go to System Settings → Staffing → Export → Select department = All → tick Huldt & Lillevik (H&L). Then, H&L will emerge as an alternative when exporting a paycheck in RecMan.

Set client number for Huldt & Lillevik

You set the client number for H&L in the same place as above, but instead of Selecting department = All, you choose a specific department. Then, you enter the client number for H&L after clicking the Edit button.

Generate the export files

Then, go to the overview of the Paychecks that have been created in the system. When you now tick off one or more paychecks, you see that H&L comes as a choice for export. If you click on it, a file named huldt_og_lillevik_lonn.zip will be downloaded.

Salary

This zip file contains some files with different information. One file is the employee file (.TXT), another has the pay lines (ITxxxxTRS.HLW (xxxx = client number)), and the last one includes the absence lines (.FRV). The absence file is only included if there has actually been an absence in the payroll. These files must be imported into H&L.

If you want to look at the information that comes with it, you can open the files in Notepad (if you use a PC) or TextEdit (if you use a Mac).

The HLW and FRV files are flat ASCII files without commas and quotation marks, so it can be difficult to see where the information is located. In any case, we will try to show this here.

The files from H&L

Employee file - Person.txt

This file includes general employee information. If you open it in Notepad, all information will be on a line, which can seem confusing, but it is important that you do not change anything on the file here. It must be imported directly to H&L.

The information included in the RecMan file

  • Employee number
  • Name (last name, first name)
  • Address Line 1
  • Address line 2
  • Project number
  • Social security number
  • Account number
  • Private email
  • Email work
  • Employee type

Payroll File - ITxxxxTRS.HLW

This file takes all the paylines from the export.

Note

All days and wage types have their own line. It is not summed up for a salary type. A summary of pay lines is done in Huldt & Lillevik.

Below, you see a screenshot with an explanation of where to find the various information on the lines in the file.

Salary

A line in the payroll file typically looks like the one below. We have divided the various information with delimiters (|) to illustrate here (there are no delimiters in the file itself). As you can probably see, some of the fields are completely blank (only zeros) here, so information is not included in the export from RecMan, or the information has a value of "0".

The files we deliver are standard for salary exports to H&L. We have made adjustments for customers regarding salary exports. We can also help with this in the future if there is such a need.
