In this article, you can read about the different fields on the candidate card.
Just as every company in the CRM has its own company card, each candidate in the candidate base has a candidate card. This is the candidate’s profile, CV and information gathered in one place.
Note that the candidate card will look different depending on whether it is a candidate or a candidate approved for staffing, also referred to as Employees. Employees will have more fields available on their profile. Additionally, more fields can be activated in the candidate settings. Below you can see how the candidate card might look like with explanations of each field, as well as the employee variation.
Candidate/employee-card
- General information: Here you can see the essential information about the candidate. You can see the name and title of the candidate, as well as the date when the candidate was created and updated, when was their last login to the system, when the terms of service were accepted, how many times the candidate has been viewed and who marked the candidate as Seen.
- Edit profile: Here you can edit the general information about the candidate. The buttons are as follows, from left to right:
- Edit basic candidate information.
- Change the profile picture (it may not be removed, only changed).
- Change the candidate login info. You may change the username and password and also send this in an email directly to the candidate.
- Edit employee information.
- Tag the candidate as Seen.
- Tag the candidate as Irrelevant.
- Add candidate to the candidate pool.
- Delete the candidate.

- Tags: Here you can see which tags the candidate has. You can easily see whether the candidate has been approved for staffing, interviewed, presented to a customer, and much more. You can also see custom tags in this area. More information about these tags is here.
- Key functions: Here you find the key functions available to the candidate card, more functions are available if the candidate is an employee:
- Dialogue – Here, you can view dialogue with the candidate or register new, as well as send an email/SMS to the candidate.
- Presentations – Here, you can see the candidate’s presentations, as well as create new ones. You can read more about candidate presentations in this article.
- Change log – You will see the log (history) of changes made to this candidate profile.
- Files – Shows all the files associated with the candidate, either uploaded by a co-worker or the candidate itself. Note: Does not show files shared from the Document Archive (Files module).
- Agreements – Lets you create, edit or view agreements sent to the candidate. Note: Agreements sent to the candidate from a project card are not visible here.
- Work calendar – Here, you can view the candidate’s work calendar. In this calendar, the candidate can define when they are able to work/not able to work.
- Jobs – Gives an overview of current, past or future jobs. From here, you can access relevant projects, customers and jobs with ease.
- Employment – Overview of employment, its period, conditions, vacation etc.
- Logged work – Shortcut leading to the Logged work module with detailed information on the work info of this employee.
- Job applications: Overview Here you can see the candidate’s applications for different positions and their status. You may also apply to a position on behalf of the candidate by clicking +Create.
- Interviews: Under interviews, you can register, view and delete interviews conducted with the candidate. You may also add a star rating to each interview or add an attachment.
- Reference check: The reference check lets you register your reference checks of the candidates. A reference check may be approved or denied, depending on the check.
- Ownership: The ownership box shows which corporations, departments, co-workers and companies the candidate is connected to and can add or remove ownership. You may also add Shield from here, selecting one department, and making the candidate invisible to all other departments.
- Places the candidate wants to work: Here you can see the locations the candidate has defined he wishes to work as.
- References: Under references, you can view, add, edit or remove references to the candidate. You may add information about each reference, like contact information or job description.
- Notes: The Notes field lets you make simple notes about the candidate. These are not visible to the candidate.
- Tag index: The Tag Index field is only visible should your system use the global Tag system.
- Tasks: In the Tasks field, you will be able to see any tasks associated with the candidate, as well as its deadline or other information.
- Attributes: The Attributes is an internal tagging system made up of attributes created in the system. Here you can view attributes and add new ones. Only visible if there are any candidate attributes in the system. You can read more about candidate attributes in this article.
- Log: Overview of the logs associated with the candidate. Some of these are logged automatically, while you may also register log entries manually. Please note that the Log is not translated.
- Candidate pipeline: Here you can view the pipelines the candidate is connected to, as well as the pipeline stage they are currently on.
- Work experience: Overview of the candidates work experience.
- Education: Overview of the candidates education.
- Course and certifications: Overview of the candidate’s courses and certifications. The certification may have a name, attachment (diploma, for instance), end date and description. You can also choose if they should be visible to the candidate or not.
- Project experience: Project experience shows details of the candidate's previous or current projects.
- Language skills: Overview of the different languages the candidate can speak, as well as the level of proficiency. Each language may also be verified internally.
- Driver license: Overview of the candidate driver's license(s).
- Skills: Skills that the candidate has. These can be verified and classified from 1-5 by proficiency.
- Industry: Shows which branch the candidate works and has proficiency in.
- Employee information: General information about the employee. For instance, the employee number, whether the employee is active or not, social security ID, bank account and other information about the employee's position.
- Key functions for employees: Here you find the new key functions available to employees:
- Work calendar – Here, you can view the candidate’s work calendar. In this calendar, the candidate can define when they are able to work/not able to work.
- Jobs – Gives an overview of current, past or future jobs. From here, you can access relevant projects, customers and jobs with ease.
- Employment – Overview of employment, its period, conditions, vacation etc.
- Logged work – Shortcut leading to the Logged work module with detailed information on the work info of this employee.
- Permissions: Allows you to define what accesses this candidate has.
- Salary Matrix: Here you can view the Salary Matrix for the candidate, as well as add or remove matrices. You can read more about salary matrices here.
- Next of kin: The candidate may add relatives or emergency contacts, or they can be added by you or a co-worker. This field is enabled/disabled in the system settings.
- Children: You may add children to the candidate, limited to birth year and the number of children.
- Customer block: Should one of your customers have a bad experience with one of your candidates, and you still wish to use the candidate for other projects, you can block the candidate from being hired on a project associated with certain customers from here.
Which fields are visible to the candidate?
The fields marked with a green eye icon are visible to the candidate. This is because some fields are for internal use and will not show up when the candidate is logged in to their profile at page.recman.
Approving the terms of service
If a candidate has not yet accepted the terms of service defined in your system, a red tag will show up below the candidate's name.
It is important that the candidate accepts these terms as quickly as possible. This acceptance can be received in two ways:
- From page.recman: The candidate can log in to their candidate profile from page.recman. A candidate who has not yet accepted these terms will be asked to read and accept as soon as they log in. Alternatively, they have the choice to delete the profile if they don't.
- Manual acceptance: acceptance can be marked internally. Getting the candidate's approval can be done by contacting them via email/phone and informing them of the terms, and should they approve, you can mark them as accepted.
Unable to mark terms of service as accepted?
If you don't have the option to mark the terms of service as accepted, you can contact your system administrator and have them do it or give you permission to.
Duplicates
If there are duplicate profiles in the candidate database, they will show up with a Duplicate-tag, as well as a field above notes where you can choose to merge the profiles. For more about how this is done, read Merging duplicate candidates.
