The candidate card explained – Top buttons

In this article, you can read about the top buttons located on the candidate card.

These are the buttons located on the top right of the Candidate Card. The meaning of each of them is described below, from left to right.

Edit – Lets you edit the basic information about the candidate. (Email address, phone number, Social media, address, etc.)

Link to contact person – Allows you to add this candidate to a contact person.

Picture – Here you can add or change the profile picture of the candidate via upload. Once added, you may not remove the picture.

Candidate login – From here, you may change the candidate’s login information. You may define an email and a password, as well as an email you can send to the candidate with this new information. Should you change the email address here, the candidate’s email address will be changed as well. You may enter your own password; however, one will always be randomly generated. Should you wish to change the information without sending it to the candidate, simply deselect the Email username and password box and save.

Tag as viewed – This button lets you tag a candidate as Viewed. A helpful feature in big teams, where many different people will search through registered candidates, this lets your colleagues know you have looked at the candidate.

Employ/Employee – This button will say Employ if the candidate is not employed or Employee shouldthe candidate be employed. A longer explanation is found further down in the article.

Tag as irrelevant – This function lets you tag the candidate as irrelevant. This feature is meant to be used on candidates with whom, under no circumstance, you want to work again, e.g., if they broke the law or behaved inappropriately. This function effectively “bans” the candidate from the system, meaning they will not appear in the candidate base unless you specifically look for it. They will not be able to log into their profile either.

Note

Should the candidate have a current job, this will have to be canceled separately. The candidate will not be able to log work as they will be unable to log in.

Add to candidate pool – Lets you add the candidate to a candidate pool. You can read more about this feature in this article.

Delete – Deletes the candidate from your system. Any information saved on the candidate card will be discarded. Should the candidate have any jobs connected to them, they will have to be terminated separately.

Note

Should you delete a candidate by accident, you can ask a System Administrator to restore them. This only works if the candidate was deleted less than 14 days ago. Read more about restoring candidates in this article.

Approving and preparing a candidate for staffing

In RecMan, any candidate who is Employed is called an Employee. They are still candidates, but they get the status of Employee. While a candidate cannot be associated with a job, an employee can.

Typically, once a candidate has been processed, interviewed, reference checked, etc., they are ready to be approved for staffing (employed). Giving a candidate this tag means you approve that they are ready for a job in your company.

Note

A candidate who is approved for staffing will no longer be able to delete their own profile from the system and will have to contact you to get their profile removed.

To approve a candidate for staffing, you first click the Employ button on the candidate card. Once clicked, you will see this window:

Here you are able to define a lot of fields related to a candidate’s employment status rather than candidate status. As you can see, you are able to define quite a lot of fields, including Social Security ID (required), Bank Account (required), Salary, position percentage and much more. Please note that most of these fields are simply information fields and do not affect the system in any way.

A notable exception is the Social Security and Bank account field, which are required to approve a candidate for staffing and can be present on, for instance, paychecks.

Some fields may also have a validation set on them, requiring you to input valid or some information in the fields. This can be managed in the System settings and can be read about in this article.

When you validate a candidate, you will also be missing the field for the Employee number. This will automatically be assigned to the employee after you save and can only be changed by editing the information after.

Any information in this field may be changed at a later time.

Tip

  1. Any excess fields may be removed should you wish to; this can be done in the System settings.
  2. Should you wish to standardize any fields in the Employee fields, this can be done from the System settings.
