This article describes how the jobs module works and how to make quick and easy changes to employees’ jobs.
Introduction to the Jobs module
This article gives an introduction to the jobs module and some of the features present here. Entering the module, you are presented with an overview of active jobs. You can create new customised views (lists) and group jobs either by employee, department, co-worker, project, or company. You can also use the filters section to narrow down the selection.
As for the jobs overview, you get to see the name of the job, the employee's name, and the start and end dates of the job. You can add more columns, such as the contribution margin ratio and the customer’s contact person for the project. You can also click the employee name, the arrow button on the job name, and the contact person to open up a new drawer with additional information. Some nice use cases for the jobs module are:
- Select and message one or several employees at a time, either by email, SMS or directly in the RecMan Employee app.
- Select and update terms on jobs, setting a new end date, a new salary or an updated collective agreement.
- Click the contribution margin ratio on a job to view a more detailed view.
- Sort by “End date” to view jobs ending soon.
Description of content in the overview:
List: Organize information according to your preferences. Lists are your customized views that are automatically saved and available for quick access without having to configure them every time. You can create multiple tabs with their own filters, grouping, sorting, and columns. By right-clicking the list name, it can be renamed, set as the default, duplicated, or deleted.
Filters:
- Quick filters: Filter by the job expiration or whether the employee has the employee app.
- Data level: Filter jobs through various database relations.
- Job overview: Easily sort jobs expiring in various time intervals or types and periods of the logged work.
- Attributes: Filter by candidate, company or project attributes.
Group by: Categorize jobs into different groups based on connections like employee, department, responsible co-worker, project, or company.
Columns: Add other columns to the top form bar. For instance:
- Contact person: The customer contact on the connected staffing project. This is normally the set invoice reference.
- Work CM %: Displays the contribution margin ratio of the job's key figures related to the employee’s logged work, forecast and combined (total).
Pagination: Adjust how many jobs you see.
Top bar:
- Checkbox: When checking one or more jobs, you can easily export to Excel, update jobs, send emails, and send messages.
- Job: Sort jobs in ascending or descending order.
- Employee: Sort employees in ascending or descending order.
- Start date: Sort job starting dates in ascending or descending order.
- End date: Sort job ending dates in ascending or descending order. Here you'll get a Yellow Warning – 14 days until the job expires, and a Red Warning – 7 days until the job expires.
1. Functions
Select multiple jobs using a checkbox and apply bulk actions to save time when working at scale:
- Export to Excel: Easily transfer data to Excel for further analysis or reporting.
- Update job: Streamline job management for multiple employees simultaneously.
- Without changing terms: Extend job duration effortlessly.
- Change terms: Modify details such as the new end date, collective agreement, responsible co-worker, and description. Additionally, adjust salary and invoice values with ease.
- Send email: Efficiently compose and send emails to selected employees.
- Send message: Quickly send SMS or app messages, with the option to set up automated follow-up messages if the initial message remains unread within a specified time.
- Unselect your choice (uncheck jobs) with a cross button on the left side.
You can interact with jobs using right-click actions:
2. Job drawer
Job or Employee drawers allow you to log required information without leaving the list. To open a job drawer, click on the arrow button that appears while hovering over the job:
- General information: Provides details about the job, including the job name and status.
- Overview: Offers an organized view of general job specifics and financial details, allowing for quick modifications to an active job.
- Work week: Allows you to view and edit the workweek schedules as defined in the employee's collective agreement.
- Permissions: Easily modify permissions associated with this job. The list of permissions is the same as in the collective agreement.
- Log work: Quick access to the Log work module for registering hours as a system user.
3. Employee drawer
Clicking the name of an employee will open the Employee drawer:
- Employee: Displays the picture and name of the relevant employee.
- Previous and next employee: Navigate seamlessly between employees.
- Employee overview:
- Profile: General overview of the employee's profile.
- Employment: All information related to the employee's current employment, including period, condition, salary and more.
- Equipment: Add equipment and mark it active or inactive.
- Work calendar: Offers a brief snapshot of the employee's schedule for a specific day.
- Trip: Information on all trips.
- Dialogue: View communications with the employee, such as emails and SMS.
- Meetings and tasks: Displays meetings and tasks associated with the employee.
- CV: Offers a quick overview of the employee's CV, complete with the opportunity to give a star rating.
General info: Displays contact details, including email, phone, age with date of birth, address, teams and custom fields.
Employment: This section offers detailed information on the employee's employment. This includes specifics such as period and current jobs.

Files: Here, you can manage all attachments related to the employee.
Employment: Offers information about all jobs associated with the employee, providing a brief overview of relevant employment details. This includes employment information, position percentage, job duration, department connection, salary details, etc.
Day:
- Availability: Displays the employee's availability status, such as Available, Not available, and Vacation. This status can be conveniently set by the employee on the Employee Portal or Employee app and in the staffing calendar.
- Shift: Provides information on the current shift to which an employee is assigned, as configured in the Staffing Calendar module.
- Logged work: Offers quick access to the Log work module for registering hours as a system user.
In this container, you'll find all the communication with the employee through RecMan. It conveniently summarizes details such as the sender, recipient, subject, and the creation timestamp within the system. By clicking on any dialogue, you can easily access and read the entire conversation.
Meetings: This section displays both Upcoming and Previous meetings. Refer to the Calendar Module for detailed information.
Tasks: In the Tasks field, you can find both To Do and Completed tasks associated with the candidate. This includes details such as deadlines and other pertinent information. For more information on tasks, see the Task module.
