This article describes how the jobs module works and how to make quick and easy changes to employee’s jobs.

Introduction to jobs module

This article gives an introduction to the jobs module and some of the features present here. Entering the module, you are presented with an overview of active jobs grouped either by department, co-worker, project, or customer. You can also use the filters section to narrow down the selection or change the date by clicking on “Today” to view a different period.

As for the jobs overview, you get to see the employee's name, name of the job, from- and to date on the job, contribution margin ratio, and the customer’s contact person on the project. You can also click the employee name, job name, and contact person to open up a new drawer with additional information. Some nice use cases for the jobs module are:

  • Select and message one or several employees at a time, either by email, SMS or directly in the RecMan Employee app.
  • Select and update terms on jobs, setting a new end date, new salary or an updated collective agreement.
  • Click the contribution margin ratio on a job to view a more detailed view.
  • Sort by “To date” to view jobs ending soon.

Description of content:

  1. Header: Organize Information by Group or Period.
     a.  *Choose period: Organize Information by Group or Period.
     b.  *Group by: Categorize jobs into different groups based on connections like department, co-worker, project, or customer.
  2. Top form bar:
     a.  Checkbox: When checking one or more employees, one can easily Export to Excel, Update jobs, Send emails, and Send messages.
     b.  Employee: Sort employee names in ascending or descending order.
     c.  Job: Sort employee names in ascending or descending order.
     d.  From: Sort job starting dates in ascending or descending order.
     e.  To: Sort job ending dates in ascending or descending order.
           1. Yellow Warning: 14 days until the job expires.
           2. Red Warning: 7 days until the job expires.
     f.  CM %: Displays contribution margin ratio of the jobs key figures related to the employee’s logged work, forecast and combined (total).
     g.  Contact person: The customer contact on the connected staffing project. This is normally the set invoice reference.
  3. Filters:
     a.  General filters: Filter jobs through various database relations.
     b.  Expiring: Easily sort jobs expiring in various time intervals.
     c.  Has employee app: Sort employees based on whether they have the employee app.

General Use Information:

  • Export to Excel: Easily transfer data to Excel for further analysis or reporting.
  • Update job: Streamline job management for multiple employees simultaneously.
       - Without Changing Terms: Extend job duration effortlessly.
       - Change Terms: Modify details like New end date, Collective agreement, Responsible co-worker, and Description. Additionally, adjust salary and invoice values with ease.
  • Send email: Efficiently compose and send emails to selected employees.
  • Send Message: Quickly send SMS or app messages, with the option to set up automated follow-up messages if the initial message remains unread within a specified time.

  1. Employee: Displays the picture and name of the relevant employee
  2. Previous and next employee: Navigate seamlessly between employees.
  3. Overview: Employee overview.
  4. Work calendar: Offers a brief snapshot of the employee's schedule for a specific day.
  5. Employment: All information related to the employee's current employment, including period, conditions, vacation, and more.
  6. Dialogue: View communications with the employee, such as emails and SMS.
  7. Meetings and tasks: Displays meetings and tasks associated with the employee.
  8. CV: Offers a quick overview of the employee's CV, complete with the opportunity to give a star rating.

General information: Displays contact details, including Email, Phone, Date of Birth, and Address.

Job Details: The active section offers detailed information on all the employee's active jobs. This includes specifics such as start and end dates for each job, the responsible co-worker, and an overview of salary and invoice details. Additionally, it provides insights into the customer associated with each job and the corresponding project connections.

3. Job

  1. General information: Provides details about the job, including the job name and the employee's start and end date for this job.
  2. Overview: Offer a general view of the job, allowing for quick modifications to an active job.
  3. Work Week: Allows you to view and edit the workweek as defined in the employee's collective agreement.
  4. Permissions: Easily modify permissions associated with this job.
  5. Log work: Quick access to the Work registration module for logging hours as a system user.
