This article describes the AI chat feature in RecMan.
AI chat is your AI assistant in RecMan. This tool is available directly from the top bar. It allows you to just type a question in plain language and get answers instantly.
Here are some examples of what you can ask:
- "Show me all unpaid invoices from this month"
- "How many active candidates do we have?"
- "Summarize the shifts from last week"
- "How do I create a job post?"
On the left, you will find buttons to see chat history, pin, rename or delete conversations and start a new chat.

Is it safe?
Yes, completely. Your data never leaves RecMan's environment and is never used to train AI models. Your data is yours. The assistant can only read your data β it cannot create, edit, or delete anything in your database. And your data is fully isolated from other RecMan customers.
Activating database access
Giving access to your RecMan data is optional. Your system administrator can grant access in System settings β Co-workers (Users) β AI chat - Data warehouse.
Enabling the Audit log is done on the same page under System settings β Co-workers (Users) β RecMan BI.
For Prospecting source activation, the paid integration must be enabled in the Marketplace first. Read more in this article.
Auto and Knowledge base sources will start working automatically.
Selecting the source
The mode selector lets you control how the AI assistant answers your questions:
- Auto β Picks the right sources for each question (recommended).
- Data warehouse β Ask across all your connected systems (your RecMan data: candidates, projects, invoices, etc.).
- Prospecting β Nordic company data, powered by Vainu.
- Audit log β Every change, one question away (who did what and when in your subscription).
- Knowledge base β RecMan know-how, on demand (searches this help center for how-to guidance).
Setting the effort level
Next to the mode selector, you can also choose an Effort level: Low, Medium, High, or Extra. Higher effort digs deeper and finds more, but takes longer to respond. Medium is the default.
Usage limits
Premium co-workers have no usage limits.
Non-premium co-workers have a daily token limit on AI chat usage. Tokens are consumed per interaction, so the exact number of messages or responses may vary. If the limit is reached, the options are to upgrade to Premium or wait until the limit resets the next day.
