Recruitment project settings

This article describes project settings in the recruitment module.

The Settings section is located under the dropdown arrow next to the project name in the recruitment module and is only available for users defined as project admins.

Tools

Restrictions

Here, you can enable or disable the option to skip steps. If activated, you can move applicants to different steps regardless of sequence.

Applicants

Here, you can select a step to accept all applicants automatically and move them to that step on the board.

Automated applicant assessments

With the automated assessment feature, you can easily send assessments to all applicants. When candidates apply for a job post:

  • Assessments from leading providers (Aon, Assessio, Master HR) are automatically triggered
  • Candidates receive assessment invitations directly after the application
  • Recruiters can access comprehensive evaluation results to support early-stage candidate screening
  • Standardized assessments provide objective insights into candidate capabilities

Decline options

To use various decline options, first enable the decline confirmation. It will activate the decline modal window once you click the decline button.

Setting up a decline email template can be a great way to reduce the time spent writing emails and make sure that any declined applicant will be sent a decline email automatically. Under the email template, you have the option to delay the sending of this email and indicate a specific date or number of days for the delay.

The decline email template can be set up per project or as a default for all your projects in the corporation settings under the Reply message section To declined candidate/applicant

You can use a template in the decline email template creation. Add it under your profile or in Template settings → Message templates, and select Usage area All or Rejection email applicant. After that, share it with co-workers, including your own. Read more about template settings in this article.

Leaving both templates empty will result in no emails being sent when declining applicants, which is great for those who want to give their professional feedback or personal touch to their candidates.

When declining an applicant, you can also edit the pre-set decline email template directly within the decline modal.

There is a possibility of indicating the reason for the decline with an additional description of it. This has to be added first in the System settings → Recruiting → Decline reasons. Read more about this option here.

You can undo a decline, which helps ensure no qualified candidate is accidentally removed from consideration, or re-engage with promising applicants if circumstances change. Access this functionality directly from the applicant drawer by hovering over the Declined status button, which will switch to the Undo button. The applicant's status will change from Declined back to Untreated.

Custom fields

You can add here custom fields that will appear in the Candidate Drawer. Read this article for more information.

Pipeline automations

In the settings for pipeline steps, you can set up automations for each category, and you can also hide certain steps should they be redundant in your specific process. The automations available at this time are:

  • Add comment (on the candidate card)
  • Send email (to the candidate)
  • Send assessment tests
  • Create task
  • Assign responsible
  • Background check

With automations set up for email or comments, you will be given a prompt when moving the candidate to the pipeline category with the automation, where you can make changes to the contents or cancel it altogether. Tasks will instead be added automatically without any prompts, useful for handing over the applicant to a different user or to act as a reminder for scheduling, e.g., an interview.

If you want to hide more steps/customize your pipeline even more, you can create and select a pipeline group (set up in the recruiting settings) containing fewer or more pipeline steps. Useful for creating and optimizing your workflow.

Assign responsible automation

You can automatically assign a team member to a candidate when their card is moved to a specific step in your recruitment pipeline. Just create a rule in settings for the needed step.

AI Assistant

AI Assistant offers two RecMan Intelligence features – AI matching and AI database scan that are described in detail in this article.

Assessments

Recruiters can set up integrations with assessment test providers in the Marketplace (with Master HR, Aon and Assessio) and in the recruiting settings (Psigma). After adding credentials, you can set up your assessments in the recruitment module’s settings and send assessments to your candidates directly from the board view.

Save as template

This option allows you to save your project settings and use them as a template for future projects.
