Economy reports (part 2)

Invoice lines

A simple report consisting of three sheets that are close to identical. The first contains invoice lines and credit note lines, the second contains only invoice lines, and the third contains only credit note lines. Note that if the invoice line or credit note line is connected to logged work – Date (C) will show the date of logged work, and Product / Article (G) will list the article name and employee name. If the line is not connected to any logged work – Date (C) will show the date of the invoice or credit note, and Product / Article (G) will list the description of the invoice line.

Below is a description of each column in the report.

Title Description
Invoice no. / Credit note no. Invoice- / credit note number.
Date Invoice- / credit note date or date of logged work.
Quantity The quantity of this product/article in the invoice or credit note line.
Price Price per unit of the product or article.
Sum excl. VAT Total sum excluding VAT.
VAT % Value-added tax rate.
VAT The sum of Value-added tax.
Sum incl. VAT Total sum including VAT.
Currency Which currency is used.
Product Name of the product. If a product is listed, the name of the employee will be displayed as well.
Article Article name. If an article is listed, the name of the employee will be displayed as well.
Product group Product group.
Product no. Product number. If an article is displayed in the product group, the product number for this article will be listed here.
Customer no.  Customer number.
Company Company name.
Project no. Project number.
Project Name of project.
Department no. Department number set for the department in System settings → Economy.
Department Name of internal department.
Our invoice reference. Name of invoice reference.
Employment condition Employment condition set on employment.

Invoice - log

A simple report that shows a log of invoices and credit notes created and exported. For each invoice and credit note, there may only be one entry where the activity = Created; however, there may be several where the activity = Exported.

Column Description
No. Invoice or credit note number.
Type Invoice or credit note.
Date Date of creation of invoice or credit note.
Customer no. Customer's number.
Company Customer (company) name.
Sum excl. VAT The gross amount.
VAT The tax amount.
Sum incl. VAT The sum with tax included.
Activity Activity type. Created or Exported.
Co-worker Name of a co-worker who created or exported the invoice depending on the previous field.
Activity date The date when the invoice was created or exported. 
Activity time  The time when the invoice was created or exported. 
Exported to If the invoice was exported, this column shows the name of the third-party system to where it was exported.

Invoice references

A simple report that shows all invoices and their references. It will also indicate whether the given invoice uses the functions for Separate invoice and/or Project invoicing with subprojects.

The period criteria consider invoice date.

Below is a description of each column in the report.

Company Company name.
Invoice no. Invoice number.
Project no. Project number.
Project Project name.
Project no. (job) Project number set on the job when using Separate invoice.
Job Job name.
Child project name Child project name if project invoicing is applied.
Separate invoice Whether a Separate invoice is active.
Child project Whether Project invoicing is active.
Customer invoice reference Name of customer reference.
Email (contact person) Email of customer reference.
Our invoice reference Name of your reference.
Email (co-worker) Email of your reference.
Department Department connected to Project.

Key figures

Column Description
Description New jobs, Active jobs, Extended jobs, New customers, Active customers, New employments and Ended employments.
Income The total sum of the invoice.
Cost The total sum of salary with social cost.
Contribution margin The value of income without cost.
Quantity The number of entities (jobs, customers, employments) created within a defined period.

Orders

Column Description
Order no. Order number in RecMan.
Order date Date when the order was created.
Order status  One of the following statuses: invoiceable, not invoiceable or invoiced.
Order value  Total order value. 
Project no. Number (ID) of the project in RecMan.
Project Name of the project.
Responsible co-worker A responsible co-worker.
Project status Active or inactive project.
Name of project attribute Custom data fields that may be connected to projects in RecMan.
Customer no. Customer number in RecMan.
Company Name of the company.
Name of company attribute Custom data fields that may be connected to companies in RecMan and allow specific filtering. Displays if you select the criteria in the settings. 
Currency Which currency is used.
Invoice no. Invoice number. 
Invoice date Full date of the invoice.
Invoice month The month when the invoice was issued.
Invoice year The year when the invoice was issued.
Notes Notes left on the order or invoice.
When activated in the Settings, the following columns might be added:
Project value The total value of the related project.
Percent This column displays the actual value over the planned value.
Example: It was planned that the project would generate an income of 1 million $, but at this moment, only half of this sum was received, so the value of this column will be 50%.

Payments - OCR

A simple report to list imported OCR (Optical character recognition) payments as well as manual registered payments and refunds. The period criteria consider the payment date.

Below is a description of each column in the report.

Date Date of payment.
Invoice no. Invoice number.
Customer no. Customer number.
Company Company that received the invoice.
Sum invoice Sum on invoice to be paid.
Sum payment Sum on incoming payment.
Paid in full Whether sum payment equals sum invoice.
Type Type of payment.
From bank account The transferring bank account number.
To bank account The receiving bank account number.
