Project category widgets

This article gives descriptions of multiple Project category widgets.

Projects widget

This widget shows the number of Projects according to the data level, project type, phase and status. While creating a Project, the user can choose Project type, phase and status. Also, the user can connect this project to some particular Responsible co-worker or Department. According to these settings, data is fetched.

Widget settings:

General tab contains:

  • Widget name input field
  • Data level (All, Corporation, Department group, Department and Co-worker)

Department (drop-down) - Dynamic (default), Choose multiple, Specific corporations/ departments/ co-workers   

Period tab contains: 

  • "Filter by" radio buttons:

- "creation date" 

- "project period"

- “No period” (default)

  • Standard (drop-down) - Today, Yesterday, This week, Previous week, This month(default), Previous month, This quarter, Previous quarter, This year, Previous year
  • Custom period (drop-down) - Custom month, Custom quarter, Custom Year, Custom Period 
    • Checkboxes *if Custom period is selected: January, February, March, April, May, June, July, August, September, October, November, December

Year *if Custom period is selected (drop-down) - Previous year, This year, Next year, 2022, 2021, 2020, 2019, 2018, 2017, 2016, 2015

Project types tab contains:

  • Project phase (checkboxes) - Select all, Request, Not started, Active, Active (urgent), Solved (ended), Solved (ongoing), Lost, Cancelled
  • Project status (checkboxes) -  Select all - Default state, Complete, On track, At risk, Off track, On hold, Not set.
  • Project type (checkboxes) - Staffing, Recruitment, Other, Health, Recruitment & Staffing

Attributes tab contains:

  • Project attribute section.Multiple Search Selection dropdown (Select an attribute (default), Attribute 1, Attribute 2 ...)
  • Company attribute section. Multiple Search Selection dropdown (Select an attribute (default), Attribute 1, Attribute 2 ...)

After adding the widget to the dashboard, the settings of this widget are set to Department is Dynamic data level by default. In case a user changes the data level to some other, then the Dynamic option is set by default. The user can choose multiple data levels and choose a few options, which are shown as checkboxes. Also, the user can choose some specific (single) option from the dropdown, or dynamic. The Dynamic option means that information on the widget will be shown according to the logged to the system user. All project statuses and types are checked by default.

In case the user chooses All data level, then there is no filtration by data level and a number of all projects will be shown on the widget according to project status or type.

In case the user chooses the Corporation data level, then the number of projects will be counted according to the department that is connected to the project. This particular department can be connected to some Corporation. For example, Project 1 is connected to Department 1 and Project 2 is connected to Department 2. Departments 1 and 2 are connected to Corporation 1. After choosing Corporation 1 from the widget settings, then Projects 1 and 2 will be counted into the widget.

In case the user chooses the Department group data level, then the number of projects will be counted according to the department that is connected to the project. This logic is pretty similar to Corporation filtration. For example,  Project 1 is connected to Department 1 and Project 2 is connected to Department 2. Departments 1 and 2 are present in Department group 1. After choosing Department group 1 from the widget settings, then Projects 1 and 2 will be counted into the widget.

In case the user chooses the Department data level, then the number of projects will be counted according to the department that is connected to the project.

In case the user chooses the Co-worker data level, then the number of projects will be counted according to the responsible co-worker from the project.

Also, in the widget settings, there are different project Types (Staffing, Recruitment, Other, Health), Statuses (Select all, Complete, On track, At risk, Off track, On hold, Not set) and Phases (Select all, Request, Not started, Active, Active (urgent), Solved (ended), Solved (ongoing), Lost, Cancelled) according to which the user can filter the data. These statuses, phases and types can also be set while creating a project.

Detailed view

  • opening when the user clicks on the widget;
  • detailed view drawer is closed after clicking the 'x' icons;
  • name of the widget is shown in the header of the drawer;
  • has counters of projects;
  • column "Project", "#" and "Status" has a sorting arrow;
  • Users can change, add, or delete criteria Status (Completed, On track, At risk, Off track, On hold, Not set).

Avg. Project days widget

This widget shows average project days according to data level, project type and phase. For example, the user has 3 projects - 1st project is for 40 days, 2nd project is for 30 days, and 3rd project is for 20 days. In case these projects fall under widget settings, the widget will show 26,7 days ((40+30+20) \ 3).

Widget settings:

General tab contains:

  • Widget name input field
  • Data level (All, Corporation, Department group, Department and Co-worker)
  • Department (drop-down) - Dynamic (default), Choose multiple, Specific corporations/ departments/ co-workers

Period tab contains:

  • Project period (drop-down) - Within period(default), Start date, End date
  • Standard (drop-down) - Today, Yesterday, This week, Previous week, This month(default), Previous month, This quarter, Previous quarter, This year, Previous year
  • Custom period (drop-down) - Custom month, Custom quarter, Custom Year, Custom Period 
    • Checkboxes *if Custom period is selected: January, February, March, April, May, June, July, August, September, October, November, December

After adding a widget to the dashboard, the settings of this widget are set to Department is Dynamic data level by default. Projects that are counted in the calculation are determined by the project's start and end dates. Projects without an end date are not counted in the calculation. For example, the Project start date is 15.10.202,3, and the end date is 30.10.2023. The day of adding a widget is 20.10.2023. Days of this project will not be included in the calculation only when the period from widget settings is not in the range of the start (15.10.2023) and end (30.10.2023) dates of the widget. In case the user chooses the previous month (01.09.2023), this project won’t be counted, but if the user chooses the today (20.10.2023) option, the days of this project will be counted.

Median project days widget

This widget is pretty similar to the Average project days widget, and the only difference is in the calculations. This widget shows the Median number of project days. For example, the user has 3 projects - 1st project is for 40 days, 2nd project is for 30 days, and 3rd project is for 20 days. In case these projects fall under widget settings, the widget will show 30 days (20 - 30 - 40 → in this case, the middle number is 30). In case the user has four projects - 1st project is for 40 days, 2nd project is for 30 days, 3rd project is for 20 days, and 4th project is for 10 days, then the widget will show 25 days (10 - 20 - 30 - 40 → in this case there are two middle numbers - 20 and 30 → (20+30)/2 = 25).

Total project value widget

This widget shows the total project value according to widget settings. While creating a project, the user can set some value for this project. In the widget settings, the user can choose the type and phase of projects. Also, the user can choose from which projects value will be fetched - with an end date or ongoing.

Widget settings:

General tab contains:

  • Widget name input field
  • Data level (All, Corporation, Department group, Department and Co-worker)
  • Department (drop-down) - Dynamic (default), Choose multiple, Specific corporations/ departments/ co-workers
  • “Include projects without end date” toggle - in case this toggle is disabled, the widget will show value only for projects with end date. In case this toggle is enabled, the widget will show value for projects with end dates and ongoing projects. (Disabled by default)
  • “Use simplified display of numbers” toggle - in case this toggle is disabled, the widget will show the whole value. In case this toggle is enabled, the widget will show a rounded value (500/1000 = 0.5 → rounded value is 1). (Enabled by default)

Period tab contains:

  • Project period (drop-down) - Within period(default), Start date, End date
  • Standard (drop-down) - Today, Yesterday, This week, Previous week, This month(default), Previous month, This quarter, Previous quarter, This year, Previous year

Avg. project value widget

This widget shows the average project value according to widget settings. While creating a project, the user can set some value for this project. In the widget settings, the user can choose the phase and type of projects. Also, the user can choose from which projects value will be fetched - with an end date or ongoing. This widget is pretty similar to the Total project value widget. The only difference is that this widget shows the average value of the projects. Also, projects without value are counted in the calculation, for example, Project 1 has 40 value, Project 2 has 50 value, and Project 3 has 0 value, then the widget will show 30 ((40+50+0)/3 = 30). Data is fetched the same way as the Total project value widget.

Agreements widget

This widget shows the number of agreements according to the widget settings. Agreements can have different Statuses and Types. On the project page, the user can create some offers. These offers will be counted in the widget.

  • Department (drop-down) - Dynamic (default), Choose multiple, Specific corporations/ departments/ co-workers

Period tab contains:

  • Standard (drop-down) - Today, Yesterday, This week, Previous week, This month(default), Previous month, This quarter, Previous quarter, This year, Previous year
  • Custom period (drop-down) - Custom month, Custom quarter, Custom Year, Custom Period (back in time, forward in time)
    • Checkboxes *if Custom period is selected: January, February, March, April, May, June, July, August, September, October, November, December

Year *if Custom period is selected (drop-down) - Previous year, This year, Next year, 2022, 2021, 2020, 2019, 2018, 2017, 2016, 2015

Offer type tab contains:

  • Status (checkboxes) - Unsigned, Signed, Cancelled
  • Offer type (checkboxes) - Select all, Regular Job - customer, Job - employee, Extended job - customer, Extended job - employee, Shift - employee, Shift - customer
  • Category (checkboxes): 'Category' dynamic section. This section contains all categories from RecMan. We have the same logic for the 'Offer value' widget. There is only one constant 'No category' option.

In case the user chooses the Co-worker data level, then the offers from the projects will be counted according to the ‘our reference’ co-worker from the offer. While creating the offer/agreement, the user can choose a co-worker.

Statuses of offer/agreement:

After creating an offer, this offer will have Unassigned status. The user can send this offer to some candidate, and in case this candidate signs this offer, it will have a Signed status. Also, the user can cancel this offer, and this offer will have Canceled status.

Offer Types:

While creating an offer/agreement, the user can choose the type of this agreement, and offers will be fetched according to these types.

Offer value widget

This widget shows the monetary value of offers (only value is shown like in the Agreements widget).

All data is fetched from RecMan, if there is no data to display on the widget, then “0” is shown.

The big values can be simplified with the 'Use simplified display of numbers' toggle in the widget

settings.

Widget settings:

General tab:

  • 'Widget name' section
  • 'Data level' section → All, Corporation, Department group, Department (by default), Co-worker. Each data level has Dynamic (by default), Choose multiple and Specific options.
  • 'Use simplified display of numbers' toggle → disabled by default

Period tab:

  • 'Period section' with next periods → This week, Previous week, This month (by default), Previous month, This quarter, Previous quarter, This year, Previous year.
  • 'Custom period' section with next options → Custom month, Custom quarter, Custom year, Custom period

Other tab:

  • 'Status' section → Unsigned, Signed, Cancelled (all checked by default)
  • 'Offer type' section → Regular, Job - customer, Job - employee, Extended job - customer, Extended job - employee, Shift - employee, Shift - customer
  • 'Category' section → list of dynamic categories + one 'No category' constant option

After creating an offer, this offer will have Unassigned status. The user can send this offer to some candidate, and in case this candidate signs this offer, it will have a Signed status. Also, the user can cancel this offer, and this offer will have Canceled status.

Offer Types:

While creating an offer/agreement, the user can choose the type of this agreement, and offers will be fetched according to these types.

Offers widget

This widget shows the number of offers in a period grouped or sorted by category. Widget count offers according to the data level and period.

Widget settings contain three tabs:

General tab contains:

  1. 'Widget name' section
  2. 'Data level' section → All, Corporation, Department group, Department (by default), Co-worker. Each data level has Dynamic (by default), Choose multiple and Specific options.

Period tab contains:

  1. Standard radio button with next options → Today, Yesterday, This week, Previous week, This month (by default), Previous month, This quarter, Previous quarter, This year, Previous year
  2. Custom period radio button with next options → Custom month (by default), Custom quarter, Custom year, Custom period, Custom date period

Other tab contains:

  1. 'Offer status' section. This section contains the next checkboxes → Created, Sent and Signed. All checkboxes are selected by default. At least one checkbox should be selected.
  2. 'Category' dynamic section. This section contains all categories from RecMan. We have the same logic for the 'Offer value' widget. There is only one constant 'No category' option.

Detailed view:

A Detailed view drawer is shown after clicking on the chart from the widget. The detailed view can be triggered from the Dashboard Home page and RecMan core dashboards. It is not available on the TV or the Dashboard settings page.

The drawer contains columns:

  1. Project
  2. Offer number
  3. Company
  4. Name
  5. Responsible
  6. Estimated value
  7. Probability
  8. Contact person
  9. Signed

Each link redirects the user to the Project/ Company/Responsible co-worker/Contact person in RecMan, where the offer is present.

The user can filter the type of offers from the drop-down in the header of the Detailed view drawer.

All columns have a sorting arrow. If the user clicks on the name of the columns, then information for this column is sorted alphabetically or in ascending and descending numbers.

Integration log widget

This widget shows information about Integration logs from the Integrations module. Users are able to transfer information about invoices from RecMan to ‘third-party’ services. Logs about these transfers are shown on the widget. Logs could have 4 statuses: Error, Success, Warning and Unknown.

This widget has 3 constant and 1 optional columns:

  • Transfers → this column contains all logs with all statuses
  • Success → logs only with Success statuses
  • Errors → logs with Error statuses
  • Resolved (optional column) → contains logs only with Resolved statuses

Also, this widget shows logs for Today, Yesterday, the Last 7 days and the Last 30 days period.

One of the big functionalities of this widget is the Detailed view drawer. Users are able to resolve and create support tickets and view logs from this drawer. Detailed view drawer is available from RecMan → Dashboard page and from the BI Dashboard page. A detailed view drawer is shown after clicking on numbers from the widget. The detailed view drawer shows logs according to statuses. For example, only Error logs will be shown on the drawer in case the user clicks on the numbers from the Error column.

Widget settings:

General tab contains:

  • Widget name input field
  • Data level: All(by default), Corporation and Department
  • ‘User’ section (radio buttons): All(by default) and RecBot 
  • ‘Resolved’ section (radio buttons): Map resolved as success(by default), Exclude resolved, Separate column for resolved.

Filters tab contains:

  • Integration section with ‘third party’ services options (Select all by default)

Offers sent widget

The widget shows the number of sent offers related to a specific offer category.  

The widget value is shown as a Basic pie chart type or Bar chart type (chart type is set from the settings of the widget).

Widget settings:

General tab contains:

  • Widget name input field
  • “Chart type” section (drop-down): Basic pie(by default), Bar
  • Data level section (drop-down) - All, Corporation, Department group, Department (default), Co-worker.
  • Department section (drop-down) - Dynamic (default), Choose multiple, Specific corporations/ departments/ co-workers (Corporation, Department group, Department, and Co-worker drop-down is shown after selecting the appropriate option from the Data level drop-down). The user can choose Dynamic or multiple ( Specific corporations/ departments/Department groups/ co-workers)

Period tab contains:

  • Standard (drop-down): Today, Yesterday, This week, Previous week, This month(default), Previous month, This quarter, Previous quarter, This year, Previous year
  • Custom period (drop-down): Custom month (default), Custom quarter, Custom year, Custom period.
  • Custom month (checkboxes): January, February, March, April, May, June, July, August, September, October, November, December( current month by default)
  • Custom quarter (checkboxes): Q1, Q2,Q3,Q4.(current quarter by default)

In case Custom month/Custom quarter is selected, the  Year (drop-down) appears (Previous year, This year, Next year, 2022, 2021, 2020, 2019, 2018, 2017, 2016, 2015)

  • Year (drop-down): Previous year, This year, Next year, 2022, 2021, 2020, 2019, 2018, 2017, 2016, 2015
  • Custom period: The user can choose any number ( from 1 to 1000) of Days, Weeks, or Months Back in time/ Forward in time

Other tab contains:

  • “Category” section. The list of dynamic categories + one 'No category' constant option. This section contains all categories from RecMan.

In case the user chooses All data level, then there is no filtration by data level, and offers from all projects will be shown on the widget according to status or offer type.

In case the user chooses the Corporation data level, then the offers from projects will be counted according to the department that is connected to the project. This particular department can be connected to some Corporations. For example, Project 1 is connected to Department 1, and Project 2 is connected to Department 2. Departments 1 and 2 are connected to Corporation 1. After choosing Corporation 1 from the widget settings, offers from Projects 1 and 2 will be counted to the widget.

In case the user chooses the Department group data level, then the offers from the projects will be counted according to the department that is connected to the project. This logic is similar to Corporation filtration. For example, Project 1 is connected to Department 1, and Project 2 is connected to Department 2. Departments 1 and 2 are present in Department Group 1. After choosing Department Group 1 from widget settings, offers from Projects 1 and 2 will be counted in the widget.

In case the user chooses the Department data level, then the offers from the projects will be counted according to the department that is connected to the projects.

In case the user chooses the Co-worker data level, then the offers from the projects will be counted according to the ‘our reference’ co-worker from the offer. While creating the offer/agreement, the user can choose a co-worker.

After creating an offer, this offer will have Created status. The user can send this offer to some candidate. In this case, it will have a Sent status and will have a Signed status after the candidate signs it.

The widget shows an overview of the projects grouped by co-workers. The widget helps to analyze the performance of the co-workers by comparing the number of projects and their total value.

  • ‘Project type’ section (checkboxes): Select all (default), Staffing, Recruitment, Other, Health, Recruitment & Staffing

Attributes & custom fields tab contains:

  • ‘Project attributes’ section drop-down (This section contains all project attributes from RecMan)
  • ‘Project custom field’ section contains:
    • Search field - allows search and adds the custom fields of projects with the option to add multiple custom fields. (The user can choose all available custom fields from Recman core)
    • Drop-down: Any, All (If the user chooses ‘Any’ the co-workers with projects with any of the selected custom fields will display on the widget. If the user chooses “All” the co-workers with projects with all of the selected custom fields will display on the widget)

The user can set all necessary settings for the project when creating a project in RecMan or when editing the existing project on the project page:

  • Data level (drop-down) - All, Corporation, Department group, Department (default), Co-worker.
  • 'Data level options'(drop-down) - Dynamic (default), Choose multiple, Specific corporations/ departments/department groups ('Data level options' drop-down is shown after selecting the appropriate option from the Data level drop-down. The user can choose Dynamic or multiple (Specific corporations/ departments/department groups)
  • ‘Cost center’ section: drop-down list with all available cost centers from the RecMan system
  • Currency selection section: drop-down list where the user can choose currency. After choosing currency data in the widget is displayed in this currency. Default subscription currency.
  • Toggle - The 'Use simplified display of numbers' toggle works with values that contain a minimum of three numbers (similar to other Simplified toggles) - (enabled by default).

Period tab contains:

  • ‘Filter by’ section (radio buttons): Project period (default), Start date, End date
  • Standard (drop-down): Today, Yesterday, This week, Previous week, This month (default), Previous month, This quarter, Previous quarter, This year, Previous year.
  • Custom date period: the user can choose a date From one date To another date
    • Custom month (checkboxes): January, February, March, April, May, June, July, August, September, October, November, December (current month by default)
    • Custom quarter (checkboxes): Q1, Q2,Q3,Q4 (current quarter by default)

      In case Custom month/Custom quarter is selected the Year (drop-down) appears (Previous year, This year, Next year, 2025, 2024, 2023, 2022, 2021, 2020, 2019, 2018, 2017, 2016, 2015)

    • Year (drop-down): Previous year, This year, Next year, 2025, 2024, 2023, 2022, 2021, 2020, 2019, 2018, 2017, 2016, 2015
    • Relative period: The user can choose any number (from 1 to 1000) of Days, Weeks, or Months back in time
    • Toggle ‘Follow the current date’ (it is available when the user chooses the Custom date period)

      If the option «Follow the current date» is enabled, the date «To» is automatically set to the current date, and the field «To» is disabled for manual entry.

  • ‘Include projects without start and end date’ -  Toggle. (Disabled by default)

Companies tab contains:

  • ‘Number of companies’:  input field (Specify the number of companies to be listed) ‘All’ by default. The user can set the number of companies' minimum values to 1- the maximum value is 50. Only numbers.
  • ‘Company’ section:  input field (search company) and includes/excludes features (radio buttons). The user can choose any companies from RecMan and include/exclude these companies.

Project types tab contains:

  • ‘Project phase’ section (checkbox list): Select all (default), Request, Not started, Active, Active (urgent), Solved (ended), Solved (ongoing), Cancelled, Lost

Widget sorting

Sorting for the "Company," "Count," and "Total value" columns is done by clicking on the titles. Sorting by Descending is by default for the "Value" column. Sorting includes two clicks for each column (descending/ascending) with autosave of the states.

In case there is not enough space for all items of the widget ”Show more” button appears. Click on the button adds a scroll for the widget window.

"Download spreadsheet" feature

The spreadsheet includes the next data:

  1. Company
  2. Projects count (type: numbers)
  3. Total value (type: numbers. Sum of value of all projects)
